A snapshot of PRO Management’s enrolment process:
Step 1. Prospective trainee expresses an interest in undertaking training with us and contacts PRO Management (via email or by completing the online enquiry form).
Step 2. PRO Management responds and provides information via email, including details of the enrolment process, fees, training location and more.
Step 3. The prospective student reviews this information and if they would like to continue with the process, advises PRO Management of their wish to enrol in a training course.
Step 4. PRO Management registers the prospective student on the business’ student management system.
Step 5. Prospective trainee will receive an electronic version of the Student Handbook (including all student information) and an electronic link to enrol.
Step 6. PRO Management provides the prospective trainee with a quote of the fees that will be involved in the prospective trainee’s chosen training course/s.
Step 7. Prospective trainee reviews this information and if willing to progress, informs PRO Management.
Step 8. PRO Management will invoice the prospective trainee with relevant fees.
Step 9. Following the payment of a deposit, the trainee will be enrolled in their first unit of competency.
PRO Management’s entire enrolment process is set out in the Student Handbook provided to trainees via email, prior to their enrolment in any training course.

The Unique Student Identifier (USI) is a reference number made up of 10 numbers and letters that:
- creates a secure online record of your recognised training and qualifications gained in Australia, even from different training organisations
- will give you access to your training records and transcripts
- can be accessed online, anytime and anywhere
- is free and easy to create
- stays with you for life.
If you are a new or continuing trainee undertaking nationally recognised training, you need a USI in order to receive your qualification or statement of attainment. If you don’t have a USI you will not receive your qualification or statement of attainment.

Recognition of Prior Learning
Recognition of Prior Learning (RPL) is offered to all students enrolling in a course with PRO Management. Recognition of Prior Learning is a process whereby the skills you have acquired from life, work experience, formal or informal training can be formally acknowledged and recognised, and can apply to one or more units of competency. In order to grant RPL, the assessor must be confident that the student is currently competent against the endorsed industry or enterprise competency standards or outcomes specified in Australian Qualifications Framework accredited courses. The evidence may take a variety of forms and could include certification, references from past employers, testimonials from students and work samples. The assessor must ensure that the evidence is authentic, valid, reliable, current and sufficient. What this will mean for you, is that if it is granted, you do not have to repeat material you already know and you will be able to progress quickly to other units of competency. PRO Management appreciates the value of workplace and industry experience, and recognises that students will acquire vocational skills and knowledge from a variety of sources other than formal training.
PRO Management will recognise all AQF qualifications and statements of attainment issued by other registered training organisations. This means that if you achieve competency in units of competency, we are required to accept your statement of attainment as valid and reliable. You then won’t need to provide any additional information regarding these units.
If any ambiguity is detected when validating a student’s certification, PRO Management will seek verification from the relevant RTO before recognising the qualification or statement of attainment.
All materials submitted will only be used for the purpose of assessment and will be stored securely. Only qualified assessors and administration staff involved in the assessment process will have access to student assessments.
Only identified students are able to gain access to their records.
Confidentiality and privacy of information is critical in our organisation. All private information if not required is shredded under supervision. All information provided by our prospective students and enrolled students is kept confidential.
Students have the right to request information about or have access to their own individual records. PRO Management Trainers and assessors or administration staff will provide the requested information or access. Students also have the right to request a hard copy of their own individual file that can be supplied as a printout from records retained within the data management system
If you wish to access any hard copy records you must contact PRO Management Administration via email and request an Access File Form. You will be required to provide suitable identification (preferably a driver’s license or passport) prior to access being granted. You will then be able to view all records privately. No other parties will have access to your records without your prior written permission.
Should you wish to permit a third party (i.e. partner/parent) to have access to your records, this will need to be clearly communicated to the Office Administrator of PRO Management and a Request of Third Party Access form will need to be completed. Third parties having authority to access student records must provide suitable photo identification (preferably a current driver’s license or passport) to the Office Administrator before access will be granted.
NCVER Privacy Notice
Under the Data Provision Requirements 2012, PRO Management is required to collect personal information about you and to disclose that personal information to the National Centre for Vocational Education Research Ltd (NCVER).
Your personal information (including the personal information contained on this enrolment form), may be used or disclosed by PRO Management for statistical, administrative, regulatory and research purposes. PRO Management may disclose your personal information for these purposes to:
• Commonwealth and State or Territory government departments and authorised agencies; and
Personal information that has been disclosed to NCVER may be used or disclosed by NCVER for the following purposes:
• populating authenticated VET transcripts;
• facilitating statistics and research relating to education, including surveys and data linkage;
• pre-populating RTO student enrolment forms;
• understanding how the VET market operates, for policy, workforce planning and consumer information; and
• administering VET, including program administration, regulation, monitoring and evaluation.
You may receive a student survey which may be administered by a government department or NCVER employee, agent or third party contractor or other authorised agencies. Please note you may opt out of the survey at the time of being contacted.
NCVER will collect, hold, use and disclose your personal information in accordance with the Privacy Act 1988 (Cth), the National VET Data Policy and all NCVER policies and protocols (including those published on NCVER’s website at www.ncver.edu.au).
